Frequently asked questions

A credential evaluation is a formal assessment of academic qualifications earned outside the United States to determine their U.S. educational equivalency. It analyzes documents such as diplomas, degrees, and academic transcripts and translates them into the U.S. education system in terms of level, credits, grades, and, where applicable, GPA.

Credential evaluations are commonly required for university admissions, employment, professional licensing, and immigration purposes. The evaluation helps institutions and employers clearly understand how an international qualification compares to U.S. standards, ensuring fair and consistent decision-making.

At Veri Once, credential evaluations are supported by at-source verification, meaning academic documents are authenticated directly with the issuing institution before an evaluation is issued. This ensures the evaluation is based on verified, authentic credentials and meets institutional and compliance requirements.

A General Evaluation provides an overall assessment of an academic credential. It identifies the U.S. equivalency of the completed qualification, along with the total credits and, where applicable, an overall Grade Point Average (GPA). This type of evaluation is typically used when a high-level understanding of an applicant’s education is sufficient, such as for admissions review, employment screening, or immigration purposes.

A Course-by-Course Evaluation offers a more detailed analysis. In addition to confirming the U.S. equivalency of the credential, it lists each course completed, the U.S. credit and grade equivalents, course level identification, and a calculated cumulative GPA. This evaluation is commonly required for transfer credit decisions, graduate admissions, professional licensing, and situations where institutions need to assess individual coursework.

In short, a General Evaluation summarizes the qualification as a whole, while a Course-by-Course Evaluation breaks down and evaluates each course in detail.

To receive a credential evaluation or verification report, applicants must submit clear and complete copies of the required academic documents. The specific documents depend on the country of study and the type of credential, but generally include the following:

  • Academic Transcript
An official record showing all subjects completed, grades earned, and dates of study.
  • Degree Certificate or Completion Certificate
Proof that the qualification was awarded or completed. In some countries, a provisional certificate may be accepted.
  • Certified English Translations
If any documents are not issued in English, a certified English translation must be provided alongside the original-language documents.
  • Identification (if requested)
A government-issued ID may be required to confirm applicant identity.

Additional country-specific requirements may apply. For example, applicants from certain countries may need to submit a graduation diploma or provisional certificate instead of a final degree.

All documents must be clear, legible, and complete. Incomplete or unofficial documents may delay processing. Veri Once will advise if any additional documentation is required during the review or verification process.

Yes. If your academic documents are not issued in English, you must submit certified English translations along with copies of the original-language documents.

Certified translations must be complete and accurate and provided by a qualified translator or professional translation service. The translation should clearly correspond to the original document, including course names, grades, dates, and any official stamps or remarks.

If you do not already have a translation provider, Veri Once can suggest reputable translation options. Please contact our support team for assistance before submitting your documents.

No. In most cases, you do not need to send original or hard-copy academic documents.

Clear, legible copies of your academic transcripts and certificates are sufficient for submission through the Veri Once platform. These documents will then be verified directly with the issuing institution as part of our at-source verification process.

Please do not send original documents unless you are specifically instructed to do so. If original or mailed documents are required for a particular case, our team will contact you with clear instructions.

All documents should be submitted electronically through your Veri Once account using our secure online platform. During the application process, you will be prompted to upload clear, legible copies of the required academic documents.

Please ensure all documents are complete, properly oriented, and readable. If any document is not in English, a certified English translation must be uploaded alongside the original-language document.

Do not email documents unless specifically requested by the Veri Once team. If you are unable to upload documents online, or experience technical issues, please contact our support team for assistance before submitting your application.

Veri Once issues one official credential evaluation report per completed evaluation, which is provided digitally through your Veri Once account.

The digital report can be securely shared with institutions, employers, or other third parties, as many times as needed, with no expiration.

If you require printed copies, they are available for an additional $30 fee and can be mailed upon request.

Most credential evaluations are completed within three to five business days after all required documents have been received, verified, and payment has been processed.

Processing times may vary depending on the type of evaluation requested, the completeness of the documents submitted, and the time required to complete at-source verification with the issuing institution. If additional information is needed, you will be contacted, which may extend the processing timeframe.

Rush services may be available for an additional fee. If you have specific deadline requirements, please contact our support team before submitting your application.

Yes. Veri Once offers expedited processing options for academic evaluations for an additional fee.

The following rush services are available:

  • 24-Hour Rush Service:$175
  • Two-Business-Day Rush Service (Guaranteed): $100

Rush services apply only to academic evaluations and begin once all required documentation and payment have been received. Selecting a rush option replaces the standard three-to-five-business-day processing timeframe.

Expedited service availability may vary depending on document completeness and verification requirements. If you have a specific deadline, we recommend contacting our support team before submitting your application.

If you decide later that you would like additional academic credentials or records evaluated, you will need to submit a new evaluation request for those documents.

Credential evaluations are based only on the academic records submitted at the time of application. Once a report has been issued, additional documents cannot be added to that evaluation. Submitting a new request ensures that each credential is reviewed, verified, and evaluated accurately and in line with reporting standards.

If you are unsure whether to include certain records, we recommend contacting our support team before submitting your application.

You can check the status of your Veri Once evaluation at any time by logging into your Veri Once account.

Once you have submitted your application, navigate to your evaluation request and select View to see the current status and progress. Status updates are provided as your documents move through initiation, verification, and evaluation.

If additional information or documentation is required, you will be notified through your account and by email. If you have questions about your status or need assistance, please contact our support team.

You can securely share your credential evaluation report with institutions directly through your Veri Once account.

Once your evaluation is complete, log in to your account, open your report, and select the option to share with an institution. You can add one or multiple recipients at any time. Institutions receive secure access to your digital report, eliminating the need for mailed or emailed documents.

Your digital evaluation report can be shared multiple times, with unlimited recipients, and with no expiration. If you need help sharing your report or have questions about a specific institution’s requirements, our support team is available to assist.

If you believe there is an error in your Veri Once evaluation, you may request a review or reconsideration.

Requests must be based on factual or documentary evidence, such as missing records, incorrect credential details, or clerical errors. Differences of opinion regarding academic equivalency, grading scales, or evaluation methodology do not automatically constitute an error.

To initiate a review, please contact disputeresolution@verionce.com and include your full name, Veri Once account details, and supporting documentation. If a correction is warranted, Veri Once will revise the report accordingly.

No. All Veri Once credential evaluation reports are non-refundable.

Once an evaluation has been ordered, work begins to review, verify, and assess the submitted academic documents. For this reason, fees cannot be refunded if an applicant decides not to proceed, no longer requires the report, or disagrees with the evaluation outcome.

We strongly recommend reviewing all requirements and contacting our support team with any questions before submitting your application and payment.

All payments to Veri Once are made online through our secure platform as part of the application process.

When you submit your evaluation or verification request, you will be prompted to complete payment using the available online payment options. Payment must be received in full before processing begins.

If you experience any issues with payment or have questions about accepted payment methods, please contact our support team for assistance before submitting your application.

Veri Once follows strict procedures when suspected or confirmed fraud is identified.

The first step in every Veri Once evaluation is at-source verification, where academic documents are authenticated directly with the issuing institution. If verification fails or cannot be completed, the record is marked as “unverified” or “unable to verify,” and the evaluation does not proceed. No credential evaluation report is issued in these cases.

When suspected or confirmed fraud is identified, Veri Once documents the findings and takes appropriate action in accordance with internal policies and industry best practices. This process helps ensure that all evaluations issued by Veri Once are based only on verified, authentic credentials, protecting institutions, employers, and the integrity of the evaluation process.
